Working conditions

  • Provide basic and accurate information in-person and via phone/email;
  • Receive, sort and distribute daily mail/deliveries;
  • Maintain office security by following safety procedures and controlling access via the work desk (monitor logbook, issue visitor badges);
  • Order front office supplies and keep inventory of stock;
  • Update calendars and schedule meetings on outlook;
  • Arrange travel and accommodations, and prepare vouchers;
  • Keep updated records of office expenses and costs via internal system (SUN\Genesis);
  • To show support to Procurement and Logistics Department in order to purchase the necessary equipment as well as equipment maintenance and forward to repair for;
  • To protect the confidentiality of files and registration documents.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative or similar roles;
  • Fluency in English and Russian languages;
  • Proficiency in Microsoft Office Suite;
  • Hands-on experience with office equipment (e.g., fax machines and printers);
  • Excellent organizational skills;
  • Multitasking and time-management skills, with the ability to prioritize tasks;
