Working conditions
- Assist in conceptualizing, developing, and planning events such as culinary workshops, competitions, gala dinners, and exhibitions;
- Oversee event logistics, including venue booking, equipment setup, catering, audio/visual arrangements, and guest chef accommodations;
- Collaborate with CÀSÀ’s culinary team to ensure alignment between event objectives and educational or culinary themes;
- Manage the scheduling of events, ensuring efficient use of CÀSÀ’s resources and facilities;
- Coordinate with external vendors and service providers, including caterers, decorators, and technical teams;
- Build and maintain relationships with event partners, sponsors, and participating chefs to ensure smooth collaboration;
- Liaise with hotels, restaurants, and event venues to organize off-site events and ensure all logistical needs are met;
- Assist in preparing and managing event budgets, monitoring expenses to ensure cost-effective event planning;
- Negotiate contracts and secure the best pricing for event services and products;
- Work with the marketing team to promote CÀSÀ events through digital and traditional marketing channels;
- Handle event communications, including guest invitations, RSVPs, and attendee updates;
- Coordinate with local and international media to ensure appropriate coverage for CÀSÀ’s high-profile events;
- Lead the on-the-ground execution of events, ensuring seamless delivery of all elements such as registration, seating, and event flow;
- Serve as the primary point of contact during events, handling last- minute changes or troubleshooting any issues;
- Coordinate the work of volunteers, staff, and students during events, ensuring tasks are assigned and timelines are adhered to;
- Gather and analyze feedback from attendees, participants, and partners to evaluate event success;
- Prepare event reports summarizing outcomes, areas for improvement, and future recommendations;
- Flexibility to work evenings and weekends during event periods;
- Occasional travel for off-site events or meetings with partners.
Requirements
- 2+ years of experience in event planning or management, preferably within the culinary, hospitality, or education sectors;
- Strong organizational and project management skills;
- Excellent communication and interpersonal abilities;
- Ability to manage multiple events simultaneously and work under tight deadlines;
- Proficiency in Microsoft Office software;
- Experience working in the culinary or hospitality industry;
- Knowledge of Azerbaijani and international culinary trends;
- Familiarity with budgeting and contract negotiation;
- Fluency in Azerbaijani and English; knowledge of additional languages is a plus.
